Terms of Service
Last updated: September 11, 2026
These Terms of Service ("Terms") govern access to and use of the FlowzIQ marketing site at flowziq.com and the FlowzIQ student-communication platform (collectively, the "Service") operated by FlowzIQ ("we," "us," or "our"). The deployed application is licensed to and operated by educational institutions; these Terms apply to the marketing site and to the standard form contracted with each licensee.
1. Agreement to Terms
By accessing the marketing site or by signing a FlowzIQ licence agreement on behalf of your institution, you agree to these Terms and to our Privacy Policy. If your institution has signed a separate written agreement with FlowzIQ, that agreement governs and prevails over any conflicting wording on this page.
2. Description of Service
FlowzIQ is a self-hosted, single-tenant student-communication platform for universities, colleges, and schools. It provides AI-powered agents that respond to student inquiries, in Arabic and English, across web chat, email, WhatsApp, Instagram, and Facebook, with role-based personas for admissions, financial aid, IT, and student services.
3. Administrator accounts
To administer a FlowzIQ deployment, your institution's designated staff register administrator accounts within the deployed instance. Your institution is responsible for the accuracy of registration information, the security of administrator credentials, and (where applicable) the configuration of SAML SSO and MFA.
4. Licensing & pricing
FlowzIQ is licensed per institution under a written agreement, negotiated with our sales team. There is no public price list and no self-serve checkout: pricing follows the scope of work, how implementation and ongoing support are divided between the two sides, the technical requirements, and any change requests. Cancellation, renewal, and any refund eligibility are governed by the terms of your contract.
5. Data security
OAuth tokens, TOTP secrets, and webhook signing keys are encrypted at rest with AES-256-GCM. Sessions are server-side and httpOnly. Failed sign-ins are recorded and the per-IP failure counter throttles brute-force attempts. The append-only audit log carries a daily hash chain so any tampering is detectable.
6. AI processing
FlowzIQ generates responses, indexes your knowledge base, transcribes and synthesises speech, and reads uploaded documents using the AI provider your institution configures in the deployment, which may be a cloud service or a model running on your own hardware. Where a cloud provider is configured for a function, the content that function handles is sent to it: in bring-your-own-key mode under your own contract with that provider, or in FlowzIQ-managed mode under the operator's contract with it, with a hard billing cap. Where a model on your own hardware is configured, nothing is sent outside your network for that function. Your institution retains ownership of all student-facing content. AI responses can be queued for human approval (Dry Run / manual approval) before sending.
7. Cookies
The marketing site sets a session cookie for sign-in and loads no third-party analytics. You can manage cookie preferences in your browser at any time.
8. Ownership and data-subject rights
Your institution owns the content it loads into FlowzIQ and the student data the platform processes. Because the deployment runs on your own infrastructure, FlowzIQ holds no copy of that data and cannot answer a student-level request on your behalf. Your own staff serve access, portability and erasure requests from the Compliance section of the dashboard: an access request assembles the subject's record, their consent history, and their conversations and messages on the web chat, Instagram, Facebook and email channels into a single downloadable file (WhatsApp conversations are not covered yet), and an erasure request marks the subject deleted immediately and schedules permanent removal after a grace window your institution sets. Consent for voice recording, data processing, marketing and directory information is recorded per subject, and a withdrawal is entered as a new row so the history stays intact.
